An RSVP reminder message should name the event, give a reply deadline and tell the guest exactly how to answer. Keep it polite and specific. The samples below help planners follow up on behalf of a client without treating silence, a read receipt or “we will see” as confirmed attendance.
Check the guest record before sending. A reminder to someone who has already declined suggests that nobody is listening, even if the message itself is beautifully written.
Before the reply deadline
Hello [name], a quick reminder about [event] on [date] at [venue]. Please let us know by [reply deadline] whether you will attend using [reply link or contact]. Thank you for helping us finalise the arrangements.
Use the event's current venue and date. If the invitation has changed, send a clear update rather than attaching a reminder to information that is no longer correct.
A short WhatsApp version
Hi [name], will you be joining us for [event] on [date]? Please reply [agreed response] by [deadline], or use [reply link]. Thank you.
Only ask for “yes” or “no” if that is how the planner will record replies. If a link is the agreed route, make that the main instruction. Two competing reply methods can leave confirmations split across places.
After the deadline, while a decision is still possible
Hello [name], we have not yet recorded your reply for [event] on [date]. We are finalising arrangements now. Please contact [person] by [final decision time] so we can confirm whether a place is available. Thank you.
Agree that final decision time with the client and the relevant suppliers. Do not promise that a late place is available unless it has been approved. Equally, do not remove a guest's place automatically because a reminder deadline passed unless that is the client's agreed process.
When the reply does not settle the headcount
For an unclear plus-one:
Thank you, [name]. To complete the guest list, please confirm the name of the companion included in your invitation by [deadline]. Contact [person] if your plans have changed.
For a household invitation:
Thank you for replying. Please confirm which of the following invited guests will attend: [names]. This will help us record the correct number for your household.
For “I should be there”:
Thank you, [name]. We need a confirmed reply for the final arrangements. Please let [contact] know by [deadline] whether we should record you as attending or unable to attend.
Adapt the wording to the relationship and the client's voice. These are original examples to edit, not messages already sent to anyone.
Remind the right people
Separate guests who have not replied from people whose reply needs clarification. Record responses made through a parent or family contributor before sending another chase. Keep one owner responsible for the current status.
Use a guest list template with invitation status and RSVP in different columns. A sent message proves only that an invitation was issued; it does not settle attendance.
If the problem is getting names from the family in the first place, that is a contributor follow-up rather than a guest RSVP reminder. Our guide to the growing guest list explains that distinction.
Turn replies into the next decision
At the agreed cutoff, give the client confirmed, declined and unresolved counts for each event. Use those figures for catering, seating and access decisions. Avoid replacing unanswered names with a guessed attendance percentage.
Comtev supports guest collection on WhatsApp, invitations and follow-up automations. Set the workflow around the client's agreed deadlines; message sends carry usage costs. See how it works and check the pricing explanation.
FAQs
What should I write in an RSVP reminder?
Name the guest and event, give the date and reply deadline, and state one clear reply action. Check that the person has not already replied through another route.
Does a WhatsApp read receipt count as an RSVP?
No. A read receipt does not state whether the guest will attend. Record an explicit reply or a confirmation from the agreed authorised contact.
Should a planner send reminders to every guest?
Target guests who still need to reply or clarify their attendance. Stop chasing resolved records and keep the client informed about unresolved names before final numbers are agreed.
